Hi there,

I would like to know if it is possible to create a document of address lables from Outlook?

I want to build a christmas card address database and export the data to word address lables. Is this possible?

Equally, as I have not started to build the database yet, can you advise of the easiest most suitable way to create address lables every year into a database that will continually be updated.

Hi Eliza

Thanks for getting in touch. Yes, this is possible.

In Word, go to Mailings > Start Mail Merge > Labels. Choose the label type based on the brand of label paper you use. Then go to Select Recipients > Select from Outlook Contacts.

From here the wizard should guide you through the process of marrying up names and addresses etc.

If you want to start this process from scratch, personally I would do it in an Excel spreadsheet. Set up a new file with some headings (First Name, Last Name, Street Address etc) and fill it in this way. This has a document which multiple people can access and work with and you will probably think of other things you can do with this data.

To use this data you would perform the process above but instead go to Select Recipients > Use Existing List. Browse to your Excel file from here.

Many thanks for your reply.

I am making progress but I am struggling to create the full document.

I can create one label but not a whole document.

Is there a way that I can insert fields all over the document and not just on one label -hope this makes sense.

Hi Gary,

Yes I have which was helpful but unless I am missing it, I can't see how to add these fields to all labels - I can only add them to one at a time.

I am doing something wrong.

I don't suppose you can take over my machine using Log Me In or similar.

Hi Eliza

After creating your first label, press the Update Labels button to push the changes throughout all your labels.

Finish & Merge will then complete the job.

Thank you for your question regarding developing a database of addresses from Outlook to produce labels.

I would use Mail Merge in Word to achieve this.
