Picking up data from Excel

Hello STL,

I am setting up a report in powerpoint.
I know that charts in ppt can be updated from an external excel file.
however, some of the data I want to report on is simply stand alone numbers, e.g.
Our share has gone from x to x
etc.

How can i input a number in powerpoint, such as in a text box, that automatically updates from a specific cell in an external excel file?

Thank you for your question regarding picking up data from Excel through PowerPoint.

Firstly, make sure that you have both the Excel and PowerPoint files open. Then from the Excel file click the cell holding the value to be viewed in PowerPoint and copy it, then in PowerPoint navigate to the slide where this item is to be pasted and from the Home ribbon in the Clipboard group (left side) click the paste drop-down and choose paste special. This opens a dialogue box where you can choose Paste Link and Microsoft Excel Worksheet Object is selected and then click OK.

You can format the item in Excel and this will carry through to PowerPoint. The item in PowerPoint can be moved to any position on the slide and can be resized if required.

Making any changes in Excel will update the item in PowerPoint providing both files are open. If you close PowerPoint and edit the linked cell in Excel and then save the file, when you next open PowerPoint you will be reminded that the file has links and you will be asked if you wish to update the links. Doing so will then show the same value in PowerPoint as you have in Excel even if the Excel file is closed.

In PowerPoint you can double click the inserted item which will open the Excel file where the data can be edited.

Hello Rodney,

One more question on this: when I paste the data in this way, it appears with a white box surround, despite not having any formatting in excel. When I right click and format object, it shows that no border formats are selected. How do I get rid of this white box around the cell I've pasted?

Hello Julia,

The grey box around the linked item comes from Excel's gridlines. In Excel go to the View ribbon and turn off the gridlines. This will remove the outside box in PowerPoint.

Use a Company logo as a bullet

Once you have a saved picture of your company logo.

1. Format / Bullets and Numbering
2. On the bulleted Tab choose Picture
3. Use import to find you Logo

Once you import a pic it stays there permanately.
