MS Project and Sharepoint 2010

Hi guys,

I am trying to sync in multiple project plans ( on a MS Project 2010) with sharepoint 2010 on an existing list, but every time I try and sync in a project plan it automatically creates a new sharepoint list, because the previous one ( on which I initially intend to save the plan) is already in use.

I created a new sharepoint list and managed to sync it with a project plan. However I then created another project plan and tried to sync it with the same sharepoint list and this error occurs:

" The task list was synchronized to a different project plan. If you continue with the synchronization the task list will be appended with the project plan"

Any idea what to do ?

Hi Navraj

Thanks for your post and we would like to check a couple of things with you.

Are you syncing Project 2010 to SharePoint Server 2010 or SharePoint Foundation 2010?

Other points to be aware of:

Sync feature with SharePoint only works in Manually Scheduled task mode with task relationships that are finish to start and no lag.

Also for tasks with allocated resources, these can be synced with SharePoint as long as the resources are actually created with identical descriptions as users in SharePoint.

Hope this is of some help, if still drawing a blank then we may be able to assist but it will be beyond the scope of this forum.

Next stages would be to have one our consultants speak with you to detail if a solution can be found, if so we can relate scope of work and any related costs.

Thanks for the information.

I amusing Sharepoint Server 2010. What are the implications of that, and is the latter the reason why I can't sync in multiple projects with Sharepoint lists ?

An update for you, please see my colleagues comments below:

"I’m afraid the answer isn’t a great one – SharePoint creates a one-to-one relationship with a project plan when it is synced to a list. The only alternative that I know of is to do it the other way around and create new projects from the list itself. In doing it this way the SharePoint list is a template from which to create any subsequent project plans, rather than enabling a sync per se. Hope this makes sense"

If you really need more collaboration/sharing of information with Project some other routes to look at:

1) Create a bespoke solution with 3rd party apps that enables greater collaboration with Project and SharePoint

2) Go for Project Server enabling enterprise Project Management solutions.

MS Project tip:

Set default task type - Project 2010

a. In Project, click on the File tab
b. Select Options from left hand side
c. Click on Schedule to set the scheduling options
d. Set the Default Task type box to your chosen option
i. Generally if you plan/estimate your projects using durations you should use fixed duration, and untick the box New tasks are effort driven, if you plan/estimate with person hours use fixed work, or for plans estimated with the proportion of resources time use fixed units, and untick the box New tasks are effort driven)
e. Click OK to apply your changes
