I want to introduce the above to my dept, with everyone using the same package, how do I know whats been going on if there are more than 1 administrator ?? How do I keep up with it.....

Thanks for the question.
You need to create a project with no tasks, but with your resources entered. Save and keep it open. This is your resource pool.
For each individual project select Resource Sharing from the Tools menu and click to Use Resources From and select the Resource Pool in the drop down list.
When you have done this to all the projects and saved everything, close all your files down.
Open the resources pool and it give you three options. Select the third option that will create a Master Project for you. In the Master project you will be able to see all the projects and how each resource has been assigned.
