How do I arrange data to work with excel pivot tables?

Thank you for your question.
You can select an table or query that you have created in Access, then find the OfficeLinks button on the Database toolbar, and select Analyze it with Microsoft Excel.
This is export the data from the database into an Excel spreadsheet for you. You might find that any numerical values you have in the table or query you export are now stored as text in the Excel spreadsheet, but if you select all the values in Excel and use the SmartTag with the ! symbol on it (that appears automatically) you will be able to choose Convert to Number.
Then go to Data-PivotTable or PivotChart report and follow through the wizard to create your pivottable.
The resulting pivottable will be easier to work with if you are exporting a table or query that contains numerical values; and also if the information is as complete as possible (i.e. as less incomplete records as possible).
