Tentative projects

I want to know the best way to show tentative projects and and to look at the impact these would have on resources if they do go ahead without the tentative items always being visible.

I have tried adding a free text-column and marking tasks as 'tentative' but obviously any days allocated shows as being work in the resource usage sheet-the tentative work contributes to the resource's totals. This would be fine if I could apply some sort of hide function to revert the totals back to only projects that have been confirmed.

I have tried a duplicate master project with tentative projects but this is too much work to maintain.

What do you think is the best way to show both projects in progress and tentative in a resource's planned work?

Hi Emma

Thank you for your question. Unfortunately I'm not aware of a way of doing this in MS Project 2007. As you rightly point out when a resource is assigned to a task work is calculated and it is rolled up into the resource totals, even if that task is subsequently hidden by a filter.

While MS Project Server does allow for tentative bookings of resources and MS Project 2010 allows tasks to be "inactivated" so they don't impact on the schedule neither is of help in this situation.

In 2007 the only option I can see is to create the tentative projects as separate plans, use the Resource Pool to see them concurrently and when you want to view live projects without the tentative ones set the tentative project start dates beyond the current time frame so they have no effect on resources allocated to the live projects.

I will check if there is another way and let you know.

Thank you Andrew, at the moment i have a master file, a resource pool and now a tentative as a separate plans as you mention in your bottom paragraph but as the tentative is linked to the same resource pool, it adds to the totals so if you do find any other way to display 'what if' scenarions please let me know. Thank you for your help, Emma

MS Project tip:

Change default view – Project 2010

a. In Project, click on the File tab
b. Select General from left hand side (this should be the screen displayed by default)
c. Set the Default view dropdown box to your chosen option
d. Click OK to apply your changes
