Drop down list

I attended the advanced excel course but can’t understand some of my notes.
I want a particular cell in a table to have a drop down list. So I dont have to type and you can only pick between the option I have set up.
I have set up a separate page with a list of the options I want to be able to pick between.
But I can’t remember what comes next, do I format as a range or a table and how do I link the particular cell in my table to the options on the other tab?

Hi Lisa,

Thank you for your question.

The first thing to do is to highlight the values you typed in on the other sheet and name the range.

Now select the cell in the table and go to the Data tab and then Data Validation. Choose 'List' from the Allow box and then in the Source box enter an equals sign followed by the range name.

e.g.

=MyList

Use the Input Message and Error Alert tab if necessary.

3. Is there any way of a calendar appearing instead on a drop down list? (Do I need to ask this as a new question?)

Hi Lisa,

Thank you for your email.

You cannot set up a calendar to drop down using Data Validation. You can use an Active X control which displays a calendar on the sheet but not in the cell.

However this method may need an understanding of Visual Basic. I am sure you could code the value selected on the calendar control to be linked to a cell.

The only other way is to create the possible range of dates in a list and name then again and then use data validation. This would only be useful if there was a defined ranged of dates to select from.

Excel tip:

Highlighting a data range

Attempting to use a mouse to highlight a large range of cells with data in Excel can make the mouse to have a life of it's own!

Use keyboard strokes instead.

Step 1. Place the cusor in the cell where the highlighting should begin.

Step 2. Select keystroke, CTRL+SHIFT+END

This will take the cursor to the furthermost bottom corner of the data range found in that worksheet. And highlight that range of cells at the same time
