MS Project 2007

MS Project 2007
I had set up a project prior to my training, and the calendar was the default version (8.00 to 17.00 - 8 hour working day), I then completed all my project details and entered all my durations etc. Following the training I have changed my caledar times in options, but the base calendar in change working times is not reflecting this, and is now also impacting on my durations. Do you have any advice on how I can fix this, without breaking the entire project?

Hello Catherine
Thanks for your post. My colleague Andrew would be the best person to answer this for you and he is training at the moment, I have alerted him to your post and he will try and get back to you today. Please note he is in the office tomorrow, so latest will be then.
Kind regards

I have continued to try to fix this myself but cannot seem to fix it all, as I make changes one thing is fixed and another then goes wrong, I have even tried to create a new base calendar. Any assistance would be greatly appreciated
Thanks

RE: MS Project 2007
Hi Catherine
Thank you for your email and your patience.
I understand the problem you describe. The default settings for Project offer a 5 day working week with an 8 hour day.
In Tools > Change working time you can specify the hours for the default calendar. There is also a second group of settings to adust. These are found in Tools > options > Calendar
Here you will find the settings for default start and end times. These are used by Project to align both your tasks, and the beginning of your project to the correct times.
The hours per day / week section ensures that when you set a task duration to 1 day Project gives it the correct duration.
Ideally the calendar's working time, default start / finish times and hours per day all correspond with each other.
Your project may also be starting at the wrong time of day. Check this by turning on times alongside dates by going to tools > options > view and setting the date to include a date plus time. Go to Project > Project info and take a look at the time your project starts. You may need to correct it to come back into line with the defaults you set in tools > options calendar.
Project has no conversion process to handle this switch to longer or shorter working days. If your project contained tasks before you change any of these settings then you are likely to experience odd results in the plan. Increasing your working time may result in the schedule shortening. Decreasing the working time is likely to result in these tasks taking longer to complete. Either way the durations will no longer be rounded in days but probably contain fractions of days. These could be corrected by hand however if resources have been assigned then edits may cause further problems.
These problems can be avoided if the above settings are applied and set as default and then a brand new project is created. This project will align tasks to the new calendar and set them to matching durations.
Try setting up a new project, setting the defaults then making a new plan and test it. You may then want to copy existing tasks over checking their durations are correct. If you have assigned resources you will likely need to go through this process again, watching out for effort driven scheduling and task types.
Let me know if this describes the problem you are having and if you have any further questions.
Kind regards,
Andrew
RE: MS Project 2007
Hi Andrew
Thanks for your response, I have tried various things in both Calendar areas and no matter what I cannot get the Base calendar to match the times I set in the options calendar setting, this is therefore throwing the times out. I did add the minutes detail as advised and you are correct that this is causeing part of the problem. My main issue is, if I decided to start again with a new project and change the options calendar to 9 - 5 with an hour for lunch (35 hours a week), this is not carrying through to my base calendar in change working times which still reflects 8 - 5.
Your assistance would be greatly appreciated, I am on holiday now for 2 weeks, but would like to try to fix my problem when I get back
Thanks again
Catherine
RE: MS Project 2007
Hi Andrew
I have now returned from my holiday and have had another go at solving this, but just find myself going around in circles but not actually getting the result I require. The project has taken a shift and it may be necessary for me to start again, this would be the perfect opportunity to start it right, but I still can't get my calendars to correspond. Your urgent responce would be greatly appreciated
Thanks
Catherine
