Marking resource as a leaver

Hi there,

Can you help please? How would I mark a resource as a leaver? I don't want to remove the resource name as I want to maintain the audit trail of who-did-what historically, but I want to prevent people allocating tasks to resources who have left the company.

Thank you for your question. Unfortunately removing the resource would remove the work they had carried out.

One alternative would be to rename the resource so it appears at the bottom of the list of available resources (e.g. z Alan) making it less likely the resource would be assigned work. Instead of using z you could add text to the name to indicate they are no longer available.

A different approach is to set the resource availabllity to zero after with effect from their last day. To do this double click on the resource name and in the General tab set the Available From date to the first day after they leave. The Available to can remain unchanged as NA, then set their Units to 0%. If they are assigned work after that date they will appear as overallocated.

MS Project tip:

Link tasks using predecessor column - project

a. First, note ID number of the task you want to link to (predecessor). Then, in the predecessor column of the task you want to link to (successor), type the predecessor task's ID number.
b. The link will be a Finish to Start (the default type).
c. Or you can add in a code for a different relationship type
i. SS = Start to Start
ii. FF = Finish to Finish
iii. SF = Start to Finish
d. You don't have to type the task ID numbers in any specific order, but you must separate multiple tasks with commas.
