What is the bestway to enter information in order for contacts to be compatible with distribution lists and mail merge documents

sorry we haven't got back to you sooner, now the answer to your question is an easy one for you the only thing that will make your contact not compatible with a mail merge in word is if the versions of your application are older that the other i.e. word 2000 and outlook 2003 if they are the same then there will be no problem with compatiblity
